TranSecur, Incorporated - Privacy Statement
TranSecur has been dedicated for more than two decades to the safety and security of corporate travelers. Privacy, the protected confidentiality of personal information, is an
essential component of your security and an obligation at the very heart of the services TranSecur provides the individual and his or her corporate sponsor. The steps we take to
meet that obligation conform to the Safe Harbor principles established by the US Department of Commerce in
conjunction with the European Union, and are explained in the following outline. We urge you to review this statement of our commitment to your privacy.
- From whom does TranSecur collect information?
TranSecur collects information from travel managers designated by corporations who retain TranSecur to support their efforts to safeguard their employees.
- Why does TranSecur collect information covered by Safe Harbor principles?
For the purposes of this Privacy Statement, information covered by Safe Harbor encompasses specific activities in which certain individuals are engaged. Such activities relate
almost entirely to travel undertaken by the individual.
TranSecur gathers this information for two reasons: first, in order to know the business travel itinerary of the individual so that he or she can be provided with guidance
relating to risk conditions they may confront in the course of their travel. This guidance is developed by TranSecur global security information analysts and pre-selected for
distribution to business travelers by authorized corporate offices, including but not necessarily limited to human resources, travel, and/or security. Additional guidance is
provided to the individual throughout the course of their travel itinerary in accordance with emergent circumstances.
The second reason for gathering information about the business traveler’s itinerary is to enable authorized corporate offices to know the precise location of the traveler in the
event of a mishap of significant magnitude which may affect the traveler by virtue of his or her proximity to it. This information facilitates the corporation’s ability to
determine with speed and accuracy whether and what emergency response measures may be required, and expedites communication with the individual and with those who can assist the
individual if such assistance is required.
- What information does TranSecur collect?
TranSecur collects business travel-related information including destinations, air carriers, flight numbers, dates and times of departure and estimated times of arrival, and
passenger locator numbers. We also collect names and addresses of hotels booked for the traveler by the travel manager; identification of rental vehicle services; and,
identification of other inter-modal travel services to be employed, such as buses, railroads, ferries, cruise ships, etc. Personal information is limited to the traveler’s first
and last name, email address and phone numbers.
- What does TranSecur do with the information it collects?
- TranSecur provides the authorized corporate office (“end user”) with point-to-point oversight of business travelers’ itineraries, to include current location, successive
destinations, air carriers and flight numbers, dates and times of departures and estimated times of arrival, hotels booked, vehicles rented, other modes of travel to be employed
along with dates and times of employment, and contact numbers on the ground.
- TranSecur registers and displays itineraries according to threat level, enabling the end user to convey special instructions or precautionary measures accordingly.
- TranSecur enables the traveler to receive security information pertinent to their itinerary, including notification of the end users corporate travel security and other
relevant policies. The end user (not TranSecur) determines what information is to be provided to the traveler.
- TranSecur provides departure-to-return tracking, including transit routes, layovers and stops, enabling end users to alert or interdict travelers as security-related, or other
corporate contingencies, arise.
- In the event of a catastrophic event, end users can interrogate the TranSecur system to obtain immediate information as to whether any of their travelers are in the affected
areas and can respond instantaneously and precisely to queries from senior management or designated crisis response personnel.
- What does TranSecur not do with the information it collects?
- TranSecur does not sell or otherwise make available to third parties the information it collects.
- TranSecur wishes to avoid any intrusion into the privacy of those it serves, and therefore does not seek referrals or otherwise use its access to information about travelers
to market its services.
- TranSecur does not develop information on the personal preferences of those it serves under the pretense of creating consumer profiles.
- How does TranSecur protect the information it collects?
TranSecur employs state-of-the-industry Secure Socket Layer (SSL) and encryption to secure information processed electronically. Data transmitted between our processing and web
hosting centers is encrypted and sent via secure VPN. Physical access to TranSecur information systems and servers is restricted. Physical and data security policies are reviewed
and thoroughly tested quarterly. There are no paper files on the information covered by Safe Harbor principles.
- How long does TranSecur keep information about me?
We retain information taken to provide the benefits described in paragraph 4. above for as long as the client wishes us to retain it. All client data can be restored to the
client's sole possession on a regular basis by encrypted data transfer. The information retained relates exclusively to travel and is never used for any purpose not expressly
authorized by the client.
- Can I choose not to have TranSecur use my information?
Yes, you can initiate steps to deny access to your travel-related information. TranSecur does not collect information directly from the individual, but rather is authorized by the
individual’s employer to collect it from the corporate travel manager(s). The processes involved are pursuant to the corporation’s duty of care. If an individual does not wish to
avail him or herself of the care being provided, that preference should be conveyed to the corporate travel manager. It is strongly suggested that human resources and security
offices also be notified.
- Is the privacy of children at issue?
No. TranSecur products and services are not at the disposal of anyone below the age of majority, and the TranSecur website is not designed to appeal to children of any age.
Certain TranSecur services encompass the dependents of corporate business travelers; dependents may include children; and, the information collected on minor dependents is the
same as that collected on their traveling parents and is handled and disposed of in the same manner.
- Does TranSecur provide a procedure for dispute resolution?
Yes. TranSecur is a Member, Better Business Bureau of Metropolitan Washington, DC. The Better Business Bureau provides for dispute resolution.
